MOVE IN INFORMATION
Picking up Keys
Keys will be available for pick- up at 2pm on the day your lease starts. You must come to the office and present a valid ID in order to receive your keys. Please note that your account must be up to date with a zero balance for the keys to be released. We encourage you to talk with your roommates and/or contact the office before you arrive on move in date to make sure that everything has been paid in full. However, the accountant will be on hand to address any issues should they arise.
Utilities
A summer mailing is sent out to the permanent address of the first person on the lease. This details any information you should need for moving in. It also includes the numbers for power, water, cable and internet. At the very least, you should contact the power company to set up billing and a turn on date to ensure that your apartment has power when you arrive. Consult your lease to determine if water is provided, if it is not then you should also contact the water company and schedule a turn on date to ensure that you have running water when you arrive.
Payments Due before Move In A security deposit should have been paid when your lease was signed. Two months from your lease signing date, last month’s rent (LMR) should be paid. Your August rent is due on the first of the month, not your move in date. Please note that keys will not be released on any unit with an unpaid balance so every roommate has to be paid to date. We will have an accountant on hand to address any questions or concerns you have about your account.
Furnishings
We provide every apartment with a couch, dining set (unless there is a bar area), full bed, desk and dresser as well as all major appliances in the kitchen. Anything that is not listed should be brought by the tenant(s) and removed at the end of the term.
Move-In Report
You will receive a folder that contains a move in report. This should be completely filled out and turned into the office within five days after your move in date. After five days, they will not be accepted; however you should keep it for your records.
Removal/Request of Furnishing
If you would like an item removed from your unit, you should email office@gabesplace.com and a representative will come by to take the requested item. If you are missing a furnishing we provide, then you should email and a representative will deliver it to you. Please note that we have a complete inventory of your unit prior to arrival. If there is more than one of the items you requested removed, delivered or switched, please make sure you clearly mark the item in your unit you emailed about.
Normal Business Hours
Throughout this section, normal business hours will be referred to. This period is defined as Monday through Friday, 9 am to 5pm. The office is also open on the weekends for showings. The hours tend to vary throughout the course of the year according to leasing demand, but generally it is open 12 pm to 4 pm.
Maintenance Requests
All non-emergency requests should be made via email at office@gabesplace.com. Please make sure to include your name, contact information, building address and unit number as well as a brief explanation of your request.
Emergency Maintenance Requests
Please contact the office at 217.344.0700 if you have an emergency within your unit during normal business hours. The office is usually open 9-5 Monday through Friday (with the exception of holidays). If your emergency is after-hours, please call the pager at 217.261.1283 and someone will call you back. In order to do so, make sure to include your name, phone number as well as your address and unit number so that we are aware of where the problem is occurring in case you can not be reached. Please note that after-hours emergencies include but are not limited to lock outs, leaks, fire, robbery etc. There can be a charge for this service if it is not an emergency or if the page out is due to lessee negligence.
Account Issues
If you have questions about your account or would like to schedule an appointment to talk to the accountant, please call the office during normal business hours.
Rent Due Dates
You should refer to your lease for accurate due dates as they sometimes vary. However, rent is due on the first of every month. You have a grace period until the 4th before late fees are added. Please note that the grace period is in place for unexpected delays for mailed checks. You should make arrangements to get your rent in on or before the first as the office is not always open on the 4th of each month.
Late Fees
There is a $20 late fee if rent is not received in full by the 4th of the month and a $2/day fee thereafter. All late fees must be paid on or before the following month rent is due in order to avoid more charges.
Pest Control
American Pest Control provides all of our extermination services and every building has routine schedule. If problems arise within your unit, an additional service call can be made. The charge for this can be added to your account if it is due to problems caused by lessee neglect.
Renewing Your Lease
There is no period that holds an apartment for the current tenants to decide if they would like to renew. We recommend that as soon as you decide to stay for another year, contact the office to set up an appointment to re-sign. Please note that until a signed lease for your unit is competed, the apartment can and will be leased to a new tenant.
Transferring to Another Building
If you are interested in another location, we offer transfers to continuing tenants. You will be required to pay an additional security deposit but not required to move out during turnover. Instead, we will allow you to stay in your unit until your new unit is ready for move in. This usually occurs within the first days after the move out date. You will still be required to complete the normal move-out procedure for your old unit but will be allowed to move into your new unit without the normal turnover gap of time.
Pets
We allow pets in some of our buildings, in specific units (usually on the first floor), and depending on the number of pets already in the building. An additional security deposit is required and monthly rent may be increased. The type of animal, length of ownership and previous pet landlord references can all affect whether or not you will be approved for a pet. A separate pet agreement with specific information relating to the animal must be signed and no other pets will be allowed within the unit. Failure to have a pet agreement can lead to immediate eviction and a fine if the pet is not removed.
